Provide efficient administrative support to HO Retail in order to optimise tasks and processes to ensure smooth running of all supportive activities for retail stores.
Essential Duties and Responsibilities:
Administration:
prepare daily sales reports, turnover reports and daily/weekly and monthly analysis reports
measure retail staff productivity vs hours worked
expand the current database by obtaining sign ups from stores on a monthly basis and competitions
compile MS PowerPoint presentations for Regional and Visual Merchandiser Manager store visits
compile minutes of retail meetings
administer & controlling all hard copy documentation
create store staff shift rosters for sign off
compile store staff timesheets, hours to be paid and commission
administer time & attendance & leave for all stores
place retail orders on Navision
assist stores with order queries
write up of purchase orders for stores and ensuring the correct process channels are followed
first point of contact for customer complaints and resolution
Purchasing & Distribution/Logistics:
administer collateral supplies by sending requested supplies to stores & process orders on Navision
source stock for other departments as instructed by HOD
check that purchase orders and customer requests are correct for planning to process
update products and change online prices where applicable
supply stores with visual merchandising elements
order and distribute staff uniforms
arrange for stock repairs where needed
Store Health & Safety
order cleaning materials and sanitizers for all retail stores
manage pest control for stores
Communication & Marketing
first point of contact for 24 stores – retail receptionist
assist with promotional calendars
assist with special projects
manage the wedding registries for stores
customer liaison for online assistance
assist with reporting on all platforms
liaise with marketing manager
Minimum requirements
Experience
3 years Administration
Attention to detail
Familiar with consumer behaviour
Education
School Matric
Tertiary Tertiary Diploma in Retail Management – Advantageous
MS Office – Strong in all, especially MS word and MS excel Knowledge of Navision (advantageous)
